By accessing our websites, registering an account, submitting information, using our systems, engaging our services, entering into a merchant or customer relationship with us, or continuing to interact with us, you acknowledge that you have read and understood this Privacy Policy and consent to the collection, use, processing, storage, disclosure, and transfer of your personal data in accordance with this Privacy Policy, unless otherwise provided by applicable law.


2. Definitions
For the purpose of this Privacy Policy:

“FulfillPoint” means an approved iExpress station, outlet, operating point, micro-fulfillment point, warehouse point, or business location used to receive stock, store inventory, pick, pack, repack, label, hand over parcels to couriers, process returns, or perform related fulfillment operations.

“OFS” means iExpress Order Fulfillment System, including merchant portal, warehouse management, PDA/scanner functions, order management, inventory management, reporting, billing, and related system modules.

“Services” means all products, services, platforms, systems, websites, fulfillment operations, courier-related services, merchant services, support services, and other services provided by iExpress.


3. Personal Data We May Collect
Depending on your relationship with iExpress and the services used, we may collect and process the following categories of personal data.
3.1 Personal and Contact Information
We may collect:
full name; nickname or preferred name; identification details, where required; business name; company registration number; job title or role; mobile number; telephone number; email address; mailing address; billing address; delivery address; emergency or alternative contact details, where applicable.

3.2 Merchant, Business, and Account Information
For merchants, business users, vendors, and partners, we may collect:
merchant name; company name; company registration details; business address; billing details; contact person details; authorized user details; login account details; assigned FulfillPoint; service package; quotation and pricing records; billing terms; payment status; communication history; onboarding forms; service agreements; support tickets; operation instructions; merchant preferences; marketplace/store information provided by the merchant.

3.3 Registration and Login Information
When you register for an account, use a portal, or access our systems, we may collect:
username; password or encrypted password credentials; access role; user ID; login time; logout time; IP address; device information; browser information; system activity logs; permission settings; account status; authentication and security records.
You are responsible for keeping your login credentials confidential and for ensuring that only authorized persons access your account.

3.4 FulfillPoint, OFS, Inventory, and Order Data
For iExpress FulfillPoint and OFS operations, we may collect and process:
merchant profile and service package details; SKU code; product name; product image; product variant; barcode; unit size; unit weight; packing instructions; special handling notes; stock-in records; stock-out records; stock adjustment records; inventory balance; rack, shelf, bin, and location records; low stock alerts; stock aging records; marketplace order numbers; customer references; order dates; cut-off times; order status; pick lists; packing lists; packing material usage; photo proof, where applicable; AWB numbers; courier names; shipping labels; label printing status; courier pickup or drop-off records; handover records; manifests; tracking status; delivery-related records; return parcel records; damaged, missing, shortage, discrepancy, write-off, and exception records; approval records; billing records; monthly reports; dashboard and station performance records.

3.5 Parcel, Shipping, and Recipient Information
Where we process courier, parcel, fulfillment, or delivery-related services, we may collect or receive:
sender name; sender contact number; sender address; recipient name; recipient contact number; recipient address; parcel details; order reference; AWB number; tracking number; courier provider; delivery instructions; proof of handover; proof of delivery, where applicable; return details; claim or dispute details; customer service records.
Where a merchant provides personal data of its buyers, customers, recipients, or other third parties to iExpress, the merchant is responsible for ensuring that it has obtained all necessary consent, authorization, notice, and legal basis to disclose such personal data to iExpress for fulfillment, courier, delivery, return, reporting, support, and related purposes.

3.6 Payment, Billing, and Transaction Information
We may collect:
billing name; billing address; invoice details; payment reference; transaction status; amount charged; outstanding amount; payment method; bank transfer slip or payment proof; SST/tax-related information, where applicable; credit or debit card-related payment information, where applicable.
Where payments are processed through banks, payment gateways, e-wallets, or third-party payment providers, your payment information may be processed by such providers. Unless expressly stated, iExpress does not store full credit card numbers, CVV codes, or complete payment card credentials.
You should not send full credit card numbers, card security codes, passwords, or other sensitive payment credentials to iExpress by email, WhatsApp, social media, or unsecured communication channels.

3.7 Email, WhatsApp, Telephone, and Communication Records
If you contact us through email, WhatsApp, telephone, online forms, social media, live chat, support ticket, or other communication channels, we may collect and retain:

stock receiving photos; parcel handover photos; packing proof; damage evidence; exception evidence; CCTV references; access logs; incident records.
These records may be used for operational verification, claim handling, dispute investigation, staff training, legal compliance, and protection of iExpress, merchants, customers, and the public.

3.11 Surveys, Contests, Promotions, and Marketing Campaigns
From time to time, we may invite users, merchants, customers, or visitors to participate in surveys, contests, lucky draws, campaigns, promotions, or feedback activities.
Participation is voluntary unless otherwise stated. Information requested may include:
name; contact information; shipping address; demographic information; business profile; feedback; survey responses; campaign participation details.

5. Purposes for Processing Personal Data
We may collect, use, process, disclose, and retain personal data for the following purposes.
5.1 To Provide and Improve Our Services
We process personal data to:
Provide iExpress services; operate iExpress websites, portals, and systems; manage user accounts; respond to inquiries; process service requests; provide customer support; improve our websites, systems, products, and services; monitor and analyze service performance; personalize user experience; maintain business records.

5.2 Merchant Onboarding and Account Management
For merchants, business customers, vendors, and partners, we process personal data to:
assess merchant applications; prepare quotations; verify merchant information; set up merchant accounts; generate user access; assign FulfillPoint locations; manage service packages; prepare service agreements; manage billing terms; support onboarding and training; provide account management and support.

5.3 Fulfillment, Inventory, and Order Processing
For FulfillPoint and OFS operations, we process personal data to:
register SKUs and products; receive stock; record stock-in and stock-out; manage rack, shelf, bin, and storage location; generate pick lists; pick, pack, repack, bundle, relabel, and prepare orders; print and attach AWB or shipping labels; hand over parcels to courier partners; update fulfillment status; manage returns; investigate shortages, damages, wrong items, and exceptions; generate reports and dashboards; calculate storage, handling, packing material, courier, and other charges.

5.4 Courier, Shipping, and Delivery Support
We process personal data to:
prepare parcels for shipment; arrange courier handover; generate labels or AWB; provide tracking information; manage delivery-related inquiries; process return parcels; handle shipping disputes; support claim or loss investigations; communicate with courier partners and merchants.

5.5 Payment, Billing, and Collection

iExpress group companies, related companies, affiliates, subsidiaries, branches, stations, FulfillPoints, licensees, franchisees, operating partners, and authorized personnel; courier companies, logistics providers, transport providers, delivery partners, and parcel handling partners; marketplace platforms, eCommerce platforms, order management platforms, and connected seller systems authorized by you or your merchant account; OFS, WMS, ERP, CRM, IT, cloud hosting, software, system integration, scanner/PDA, cybersecurity, data storage, and technical service providers; payment gateways, banks, financial institutions, e-wallet providers, payment processors, and collection service providers; email, messaging, communication, customer support, call center, WhatsApp/API, SMS, and notification service providers; analytics providers, including Google Analytics or similar analytics tools; marketing agencies, campaign partners, advertising platforms, and social media platforms, where applicable; auditors, accountants, tax agents, lawyers, insurers, consultants, and professional advisers; debt collection agents or credit control service providers, where necessary and lawful; regulatory bodies, government agencies, courts, law enforcement agencies, customs, tax authorities, and other authorities where required or permitted by law; buyers, assignees, transferees, or successors in the event of a merger, acquisition, restructuring, sale of business, transfer of assets, or similar corporate transaction; any other person or organization where you have given consent, where disclosure is necessary to provide the services, or where disclosure is permitted or required by law.

Where we appoint third-party service providers to process personal data on our behalf, we will take reasonable steps to ensure that such providers protect personal data and process it only for authorized purposes.


7. Personal Data of Third Parties Provided by You
If you provide personal data relating to another person, including your employees, representatives, customers, buyers, parcel recipients, emergency contacts, or business partners, you confirm that:

you have obtained the necessary consent, authorization, or legal basis to provide that personal data to iExpress; you have notified the relevant individual that their personal data may be disclosed to and processed by iExpress; the personal data provided is accurate, complete, and up to date; the personal data may be processed by iExpress for the purposes described in this Privacy Policy and any related service agreement.

For merchants using iExpress FulfillPoint or OFS, the merchant remains responsible for ensuring that buyer, customer, recipient, and order data provided to iExpress has been lawfully collected and may be used for fulfillment, shipping, delivery, returns, reporting, billing, customer support, and related purposes.


8. Data Controller and Data Processor Roles
For personal data collected and processed by iExpress for our own business purposes, including merchant onboarding, account management, billing, security, customer support, marketing, analytics, and legal compliance, iExpress may act as a data controller.
For personal data of a merchant’s customers, buyers, or parcel recipients that is provided to iExpress solely for fulfillment, order processing, parcel preparation, courier handover, returns, reporting, or related merchant instructions, iExpress may act as a data processor or service provider on behalf of the merchant, depending on the circumstances and applicable agreement.

Where iExpress processes personal data on behalf of a merchant, the merchant is responsible for providing proper notice and obtaining any required consent from its customers, buyers, recipients, employees, or other data subjects.

Additional terms may be set out in a Merchant Service Agreement, Data Processing Addendum, platform terms, or other agreement between iExpress and the merchant.
 

9. Accuracy of Personal Data
You are responsible for ensuring that the personal data you provide to us is accurate, complete, not misleading, and up to date.
You should promptly inform us of any changes to your personal data, including contact details, business information, billing details, authorized users, delivery addresses, or account information.

We may take reasonable steps to update, verify, correct, or remove inaccurate or outdated personal data where appropriate.


10. Security of Personal Data
We take the security of personal data seriously and implement reasonable physical, technical, electronic, administrative, and managerial safeguards to protect personal data against loss, misuse, modification, unauthorized access, unauthorized disclosure, accidental disclosure, alteration, or destruction.

Our security measures may include, where appropriate:
user access controls; role-based permissions; password controls; account authentication; system activity logs; staff confidentiality obligations; secure system administration; restricted access to merchant and order data; controlled access to stock and fulfillment areas; CCTV or security monitoring at selected locations; scanner/PDA access controls; secure label and AWB handling; backup and recovery procedures; cybersecurity tools; vendor security controls; training and internal SOPs; incident reporting procedures.
However, no method of transmission over the internet, electronic communication, online system, or electronic storage is completely secure. While we strive to use commercially acceptable and reasonable measures to protect personal data, we cannot guarantee absolute security.
You are responsible for keeping your account credentials secure and for notifying us immediately if you suspect unauthorized access, password compromise, or misuse of your account.


11. Retention of Personal Data
We will retain personal data only for as long as necessary to fulfill the purposes for which it was collected and processed, including service delivery, fulfillment operations, account management, billing, accounting, audit, tax, reporting, dispute resolution, fraud prevention, legal compliance, and protection of our legal rights.

The retention period may vary depending on the type of personal data, service relationship, legal requirements, operational needs, and whether there are unresolved disputes, claims, investigations, or outstanding payments.

18. Children and Minors

We may update, revise, or modify this Privacy Policy from time to time to reflect changes in our services, systems, business operations, legal requirements, technology, or data protection practices.
